FileHold viewers

The FileHold viewers allow users to view files in both the Web Client and FileHold Desktop Application (FDA). By default, a FileHold level 1 viewer is added to each new user when licenses are available. A system administrator can change this to a level 2 or 3 viewer in the user account, when licenses are available.

The FileHold viewers are primarily used with a mouse, but supported browser keystrokes can be used, such as arrows, home, end, page up, and page down buttons for scrolling page in the viewer panel. “Copy” (Ctrl+C) can be used when text is selected in a document and “Enter” when the focus is either in the text search or the page navigation text input.

For files containing HTML content such as .html or .msg, Google Chrome is required to be installed on the FileHold server in order to be able to view or assemble the files. The browser libraries are only used for rendering HTML content. The browser should not be used for browsing the internet. Changes in the browser version can impact its ability to work with FileHold. You should disable automatic updating in Chrome unless you are upgrading FileHold.

High fidelity rendering is done by first converting the document to an intermediate format. The intermediate format is cached to save time and CPU resources for future viewing of the document. The cache lifetime can be configured by setting the managed option Viewer.CacheLifetimeDays. The default number of days to store the cached files is 1095 days. The cache is cleaned nightly by the “FH clean web viewer cache” scheduled task.

To enable external links in the documents viewed in the FileHold viewer, set the Viewer.EnableExternalLinksInHtml managed option “true”.

By default, the side panel is opened when a document is opened for viewing. To disable the side panel, set the managed option Viewer.ShowThumbnails to "false". If the value is set to false, a user can still open the side panel by clicking any of the panel icons.

Annotations provide detailed system information when the user hovers over them. Use the managed options Viewer.EnableLimitedUserAnnotationInformation and Viewer.EnablePortalAliasUserAnnotationInformation are available to allow this information to be suppressed for limited and portal alias users.

You can control document formats that should not be cached using the high fidelity conversion to PDF using the managed option Viewer.ExtensionsToExcludeFromHighFidelityConversion. For example, you may want to exclude conversion of TXT files.

Annotations appear consistently for all viewer levels when the document is first opened. Level 2 and higher viewers can enable annotation editing as needed. Prior to version 17.1, the behavior for viewing documents with annotations was different. The old behavior can be restored with the managed option Viewer.Pre171MarkupBehavior.

It is recommended that you test your documents with the viewer in order to determine how your documents are rendered. The FileHold viewer is not guaranteed to correctly render every feature of every file format. If you are having trouble viewing a DOCX or similar file with the level 1 viewer, you may wish to upgrade to the level 2 or 3 viewers. For example, the level 1 viewer may not correctly render a Word equation, but the level 2 or 3 viewer will.

If you are using the FileHold viewer inside the FDA running on the Windows Server 2012R2 or 2016 console, you will not be able to use the help link.

Bookmarks pane

Bookmarks can be viewed in the Bookmarks pane. All viewer levels can view bookmarks.

If using document assembly, bookmarks are added to the PDF for each file when merging files. The bookmark name is the document name.

Attachments pane

If a viewable file contains attachments, they can be accessed via the attachments pane. This is common with email files. 

 

Prior to the introduction of the FileHold level 1 viewer, viewer licenses were an optional purchase for each registered viewer. Most systems included at least two PDF/Image viewers and these are automatically available as FileHold level 1 viewers. Users assigned Brava viewer licenses automatically have access to the FileHold level 2 viewer. Since the introduction of the FileHold level 1 viewer, most registered user licenses include a FileHold level 1 viewer license. A system administrator can check the license utilization page to see how many and what type of viewer licenses are available. Additional viewer licenses can be added at any time.
